Host Holidays

1.        Temporary Host Arrangements

If you plan to go on holiday, HHA will assign a temporary host for your student. This ensures continuity of care during your absence.

·       Temporary hosts will be paid $60 per day to accommodate your student.

·       The cost will be deducted from your next payment as the original host.

2.        Holidays Longer Than 4 Weeks

If your holiday is longer than four weeks, the student will be re-placed with the temporary host at the long-term homestay rate ($360 per week).

📌 Advance notice is essential. Please notify HHA of your holiday plans as early as possible to allow sufficient time to arrange suitable care for your student.

Visitors to the Host Home

1.        Mandatory Notification to HHA

Hosts are required to inform HHA in advance of any guests or visitors who may come into contact with the student—especially if the visitor will stay overnight.

2.        WWCC (Working With Children Check)

Any adult who will spend time with the student (whether staying overnight or not) must undergo a Working With Children Check (WWCC). HHA can assist with this process if notified in advance.

3.        If One of the Main Carers Is Away

If one of the carers is away (for business, travel, or any other reason), this must be communicated to HHA ahead of time, even if the other adult remains at home.

⚠️ This is a child safety requirement.

Student Holidays

1.        Airport Pick-Up and Drop-Off

Homestay hosts are expected to assist students with transportation to and from the airport at the beginning and end of their holiday. This includes both domestic and international travel.

2.        Confirming Flight Schedules

Hosts should directly confirm all travel dates and flight details with the student to ensure timely support. Please note that HHA does not organise flights for students.

3.        Holding Fee for Holidays

If a student's holiday is longer than one week, a holding fee will be applied on a weekly basis to secure their room during their absence. This fee allows the host to retain the student’s room while the student is away.

Fee Guidelines:

·       Case 1: Student is away for less than 7 days   
→ Full weekly fee is payable.

·       Case 2: Student is away for 12 days within a two-week payment cycle
 →   One-week holding fee and one-week full fee are payable.

🔔 Reminder: If you become aware of any changes to a student’s holiday schedule that have not been communicated by HHA, please notify us as soon as possible.

Sleepovers (Student Staying Outside the Host Home)

1.        Prior Approval Required

Students are not permitted to sleep outside the homestay unless prior approval has been granted by HHA. This is a strict policy in place to ensure student safety.

2.        No Verbal Confirmation Accepted

Even if the student claims that their school or guardian has approved the sleepover, HHA must receive a direct notification and issue approval before the student stays elsewhere.

🚫 Without HHA confirmation, the sleepover is not allowed under any circumstances.

• If you currently have no vacant rooms but expect availability soon, kindly update the 'Available soon' section with the expected availability date.
• If you currently have no vacancy or foresee any soon, we would greatly appreciate it if you could still complete the form.
  

Additionally, the online form allows you to update your compliance status for the Working With Children Check (WWCC) and RRHAN-EC training. As previously shared, completing the RRHAN-EC online course will become mandatory from 1 January 2025, similar to the WWCC.

If you haven't completed this course yet, please ensure it is done by 27 December 2024.

• The course takes approximately 2 hours to complete, with the option to pause and resume as needed.
• Only one carer or household member needs to complete the course, as long as they share the information with other carers or household members over the age of 18.
• The completion deadline is 27th December 2024. If the course is not completed by this date, we may need to arrange alternative accommodation for your student.
• Once you have completed the training, please download the certificate of completion and send it to us.
